Position Overview
The Office Administrator oversees the day-to-day administrative and operational functions of our wealth management office. This role serves as a key support partner to financial advisors and team members by coordinating office operations, executive-level administrative support, events, compliance administration, scheduling, and special projects.
The ideal candidate is highly organized, detail-oriented, proactive, and comfortable managing multiple priorities in a fast-paced environment. This is a fully in-office position that offers the opportunity to play a meaningful role in the efficiency, organization, and success of the practice.

Key Responsibilities
Office Operations & Administration
- Oversee daily office operations, including office supplies, equipment, technology coordination, and vendor relationships.
- Maintain an organized, efficient, and professional office environment.
- Coordinate incoming and outgoing correspondence and office communications.
- Assist with maintaining organized records, documentations, and office systems.
Executive & Advisor Support
- Provide high-level administrative support to advisors and senior team members.
- Manage calendars, appointments, meetings, and scheduling logistics.
- Coordinate continuing education schedules, registrations, and related documentation.
- Assist with preparing reports, presentations, meeting materials, and other advisor deliverables.
- Help manage priorities, follow-up items, and ongoing projects on behalf of advisors.
Compliance & Documentation
- Maintain organized compliance records and documentation.
- Support audit preparation and regulatory requirements.
- Help ensure adherence to firm policies, procedures, and compliance standards.
Events, Sponsorships, & Client Engagement
- Coordinate client events, sponsorships, and team activities from planning through execution.
- Manage the practice's gifting initiatives, including milestone gifts and annual holiday programs.
- Handle event logistics, vendor relationships, invitations, communications, and follow-up.
Project Management
- Support and coordinate internal projects and process improvements.
- Track timelines, deliverables, and communication across stakeholders.
- Assist with implementing systems and workflows that improve efficiency and support practice growth.

Education & Experience
Preferred Education
Bachelor's degree in Business, Finance, Communications, Hospitality, or a related field, or equivalent professional experience. Candidates with a proven track record of professionalism, client service, and operational excellence are strongly encouraged to apply.
Experience
3-5 years of experience in one or more of the following:
- Executive assistant or administrative support
- Office management or administration
- Project coordination or operations supports
- Event planning and coordination
- Financial services support
- Professional services environments such as finance, legal, healthcare, or consulting
Additional Qualifications
Preferred but not required:
- Experience supporting financial advisors or high-net-worth clients
- Familiarity with Salesforce, Redtail, or similar CRM platforms
- Knowledge of compliance processes within financial services
- Experience independently managing projects, events, or client engagement initiatives
Physical Requirements
- Prolonged periods of sitting and computer work
- Ability to work on-site during business hours
